Zoho CRM

Zoho CRM is a customer relationship management system for organising leads, contacts, deals, activities and sales follow-up.

If enquiries and sales conversations are difficult to keep track of, Zoho CRM may be useful for putting the people, opportunities and next actions into one system. Its free edition covers core lead, contact and deal management for a small team, with paid editions adding more automation, customisation and reporting.

What it can help with

Zoho CRM can help you record who you are talking to, what opportunity is being discussed, what happened last and what needs to happen next. Tasks, events, notes and deal records create a more structured alternative to keeping active prospects across email, spreadsheets and memory.

Who it may suit

It may suit solo operators and small sales teams that want a configurable CRM and are prepared to spend some time setting it up. It could also be worth comparing if you already use other Zoho products, although the value of that wider ecosystem will depend on which integrations you actually need.

How it works

You create or import lead and contact records, add sales opportunities and move deals through the stages of your own pipeline. Tasks, events and notes can be attached to records. The Free edition includes the basics, while Standard, Professional, Enterprise and Ultimate progressively add functions such as further automation, multiple pipelines, customisation and more advanced process controls.

Cost and access

Zoho CRM's Free edition supports up to three users and currently allows 5,000 records. Paid editions are charged per user; Zoho's current pricing calculator lists Standard from US$14 per user per month when billed annually, with higher editions costing more. Pricing, currency and tax treatment can vary by region and billing cycle, so confirm the price shown for your account.

What to check before committing

Check whether the free edition's record, user, workflow and customisation limits are enough, and calculate what additional seats will cost if the team grows. Compare the setup effort with the complexity of the sales process you actually have: more fields and automation are useful only when somebody maintains them. Check your email, calendar, forms and accounting integrations, along with import and export routes. Establish appropriate permissions and data-protection processes for customer information before bringing live records into the system.

Next action

Compare the Free and paid editions against the sales process and number of users you need now, rather than the system you might need later.
