If invoices, receipts and bank transactions are spread across different places, Xero may be useful for bringing the everyday financial record of your business together. It is cloud accounting software designed for small businesses, with tools for invoicing, reconciliation, expenses, reporting and, on relevant UK plans, VAT returns and Making Tax Digital.
What it can help with
Xero can help you send and track invoices, match bank transactions, retain bills and receipts and see financial reports without maintaining a separate spreadsheet for each task. It can also give an accountant or bookkeeper access to the same records you are working from.
Inspiration Space note: Xero can be especially helpful once you give it a simple monthly routine. The tool is not a substitute for bookkeeping attention, but it can make invoices, receipts, reconciliations and cashflow information much easier to manage in one place.
Who it may suit
It may suit sole traders, consultants and small businesses that want online accounts and a regular system for bookkeeping. If you are VAT registered, employ people, work in several currencies or need project tracking, check which plan contains those functions rather than assuming they are included everywhere.
How it works
You connect or import bank transactions, create invoices, enter bills and expenses and reconcile what happened in the bank with what is recorded in Xero. UK VAT-enabled plans can prepare and submit Making Tax Digital VAT returns to HMRC after the account has been set up and connected correctly. Xero calculates from the transactions and tax treatments recorded, so the underlying bookkeeping still matters.
Cost and access
Price checked 2 September 2026. UK list prices range from £7 a month for Simple, intended for non-VAT businesses, to £70 a month for Ultimate, excluding VAT and optional add-ons. Promotional prices may be available. Xero increased several UK plan prices from 1 September 2026, so check the live comparison before subscribing.
What to check before committing
Check whether the plan covers your invoicing volume, VAT position, payroll, expenses, projects, currencies and reporting needs, and what optional services cost. Ask whether your accountant or bookkeeper already works with Xero. If you use it for tax records, make sure the setup matches your circumstances and review transactions before filing: HMRC requires businesses within Making Tax Digital to keep digital records and use compatible software, but the software does not make the underlying figures automatically correct.
